For most of us when it comes to
managing document collaboration, many challenges await ahead. And I am saying
this from experience. The main purpose is to always focus on having a satisfied
client. Also be sure you are always evaluating your work because this is an
important part of the agile development process and you probably know it
already.
It is a general rule to have
flexibility in the agile process, so you should be prepared to prove it. That’s
why I will write about some of the main flops people need to avoid in group
collaboration situations:
- Always define the roles. And this is very important aspect especially if you are working with a big team. In this case you should pay a special attention to this aspect and clearly define, from the beginning, each one's role in the online document collaboration process. By doing so you will avoid the misunderstandings and also the frustration created by them.
- Always avoid choosing the wrong document collaboration team. If you are facing this task you should consider your document collaboration companions' specialization, their expertise, but also their availability. If you are thinking that maybe a busy colleague will find some minute for your project, then you are laying yourself. Just select another one.
- When creating a deadline, be sure you set a realistic target. Always calculate the correct quantity of work and the time to get it done. Again, don't lie yourself and consider the bad scenario case, for the group collaboration, not the fairytale one.
- Another common mistake is having a poor communication. I always recommend having all your document collaboration members involved in all steps of the process. I am speaking from the time you start defining the tasks to the moment where you are delivering the collaborative document and thanking everybody for their help.
- Don’t fail to define the requirements and expectations. By doing so, you could create a lot of frustration, a matter that everyone desires to avoid when creating document collaboration processes.
- Feedback nightmare. Not coming, or coming too late, in different files or formats, making it difficult to keep track of important changes for the final version of the collaborative document. This transforms into a nightmare, your nightmare, with dedication from your collaboration colleagues.
- Always avoid a conflict in the feedback. To avoid it, be sure to clarify the situation and also find the best feedback. But the question appears: how do you accomplish that? Very simple in fact, establish a meeting between you and the companions. Also another could try would be an online method also known as an online document collaboration tool.
- Having to little details or even too many. Both of these cases are not good especially for the document workflow.
- Not having a backup plan in case something goes wrong in the project. In this case a good list where you analyze things is the solution. Always respect your planning.
- Last but not least is using an inefficient collaboration tool. Our advice is plain and simple: just try Agilewords. This is a free web-based document collaboration solution and you will be able to avoid most of the above flops.
